Pro Publico ASBL is a Brussels-based nonprofit association that connects civil society with top-tier legal and public affairs professionals offering pro bono assistance.
The Processing operations are decided and overseen by Francesco Zatelli as Managing Director of Pro Publico.
At Pro Publico we care for Your rights, this is why we adopted a comprehensive, smart privacy notice to let You understand how we Process Your Personal Data and how you can exercise Your rights.
The new General Data Protection Regulation (Regulation EU 2017/679, or simply “GDPR”) sets very important standards for the protection of Your Personal Data, and we are committed to implement them. Otherwise… we wouldn’t call ourselves Pro Publico!
DEFINITIONS
‘Data Controller’ means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the Processing of Personal Data. For the purposes of this notice the Data Controller of Your data is Pro Publico ASBL.
‘Personal Data’ means any information relating to an identified or identifiable natural person which can be used to identify that person.
‘Processing’ means any operation which is performed on Personal Data such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.
“You” or “Your” refers to those who interact with our website or subscribe to our newsletter.
WHAT DATA DO WE COLLECT AND HOW DO WE COLLECT IT?
Matchmaking
Our core activity is to make skilled professionals available on a pro bono basis to nonprofit organizations and civil society groups. To achieve this, we collect contact details, skills, and other relevant information through voluntary registration in our expert database. We retain this data for three years.
Educational
To promote our mission and support civil society organizations, we run various educational activities such as Masterclasses, Workshops, and Summer Academies. For registration, we collect basic information like contact details and professional or academic background. Your data may also be used to inform You of future activities and newsletters, with an option to unsubscribe at any time.
Networking and Communications
We carry out surveys to map the needs of civil society and support our matchmaking efforts. We also gather contact information from individuals at events or through our communications platforms, such as our blog, which may feature author details.
Recruitment
When applying for fellowships or job opportunities, we collect Your CV and motivation letter. This data is retained for one year to allow flexibility in the recruitment process.
HOW DO WE USE PERSONAL DATA?
We use the information that we collect for lawful purposes related to the administration of our operations, always respecting Your privacy. These uses include (but are not limited to): volunteer coordination, matchmaking, program delivery, research, and communications.
HOW DO YOU EXERCISE YOUR RIGHTS?

Access, Correction or Deletion of Your Information
You may request access to, correction or deletion of Your Personal Data, and request a copy of the data we hold. Please contact us through the email address provided above.
If You registered for an educational activity, You may opt out of data collection at the time of registration. Your data will be deleted once all follow-up communication has been completed.
Volunteers, applicants, NGOs, and professionals who shared their information or business cards can unsubscribe from the newsletter to stop further Processing. Data are deleted bi-weekly.
We may need to retain some information for legal compliance or to complete activities already initiated. Requests must include proof of identity. Legal fees may apply under certain conditions.
Data Privacy Rights Specific to Residents of the European Economic Area
If You reside in the EEA, You may object to Processing, request restrictions, or data portability. You can also withdraw consent at any time, without affecting prior lawful Processing. For concerns or complaints, contact Your local data protection authority.
WHICH PROCESSING OPERATIONS DO WE CARRY OUT?
Pro Publico only carries out four types of Processing operations. We do not sell or transfer Your data for commercial use. Access is restricted to authorized Pro Publico staff, using password-protected credentials.
Data is stored securely on Google Drive. Specifically, the following roles have access:
- Matchmaking Manager
- Programs and Projects Officer
- Partnerships Coordinator
- Managing Director
- Senior Advisors
- Trainees
WHICH TOOLS DO WE USE TO PROCESS YOUR DATA?
We use simple and effective tools to process Your data:
- Mailchimp: newsletter management
- Google Drive: application and survey management
- WordPress: website and blog management
- CiviCRM: relationship management software
INTERNATIONAL TRANSFERS
When transferring Personal Data outside the EU/EEA, we comply with applicable data protection laws. Where the destination country lacks an adequate protection level, we use Standard Contractual Clauses.
OTHER PRIVACY-RELATED INFORMATION
Personal Data of Minors
We do not knowingly collect data from minors (individuals under the age of majority in their country). If we do so unintentionally, please contact us at info@propublico.eu, and we will act promptly.
Changes to this Notice
We may revise this notice to reflect changes in our practices or the law. The “Last Revised” date at the top indicates the latest version. Significant updates will be communicated by email or website notice, and we may seek Your consent if required.
